Our 2023-2024 Committees 

A Committee/Committee Chair is an easy way to get involved and support your school.  Committee members take responsibility for planning and executing on their respective tasks.  The level of commitment will vary but most can be done with a few hours' commitment. PTO Committees are self-forming and self-regulated, operating under a budget determined during annual planning.  Committee chairs will set any required meetings for the committee and can meet as frequent as required or desired to achieve the committee goals.  These meetings could be in person or virtual.

5th Grade Celebration – Chaired by Outreach Coordinator (heritageptooutreach@gmail.com) in collaboration with a few 5th grade parents.  This committee is responsible for planning and logistics of the 5th grade celebration, including t-shirts, activity, food, and budget.  The committee works in collaboration with the 5th Grade teachers.  Membership Toolkit Volunteer Portal or PTO Signup Genius can be used to coordinate volunteers and donations.  Needs 2-3 volunteers; approximately 4-6 hours of commitment between January and MayThis committee for 23/24 will have additional responsibility of defining this committees’ parameters moving forward, there is discussion of making this equal to the budgets and restrictions of the other BPS elementaries.

 

5th Grade Hygiene Kits – Chaired by Volunteer (heritageptovicepres@gmail.com).   This committee is responsible for the procurement, packaging, and distribution of 5th Grade Hygiene kits, which include basic items that students may need as they approach maturity changes.  PTO provides financial support for the materials for this committee for every 5th grader.  Needs 1-2 volunteers; approximately 1-2 hours of commitment in February

 

Adopt The Lounge – Chaired by Outreach Coordinator (heritageptooutreach@gmail.com).  This committee ensures that the Staff Lounge is stocked each month with snacks and beverages.  This could be done monthly by each grade, student council, community groups, etc.  No signup in December.  Membership Toolkit Volunteer Portal or PTO Signup Genius can be used to coordinate volunteers and donations.  Needs 1-2 additional volunteers; approximately 1-2 hours of commitment each month.

 

Apparel – Chaired by Vice President (heritageptovicepres@gmail.com).  This committee oversees all aspects of apparel including, design, production, sales and distribution.  PTO usually offers a Fall/Winter line and a Spring line of Heritage / Badger clothing and accessories.  Membership Toolkit can be used for Sales. Needs 1-2 additional volunteers; approximately 6-10 hours of commitment each line.

 

Back to School Night – Chaired by Vice President (heritageptovicepres@gmail.com).  This committee is responsible for planning and executing PTO engagement at Back to School Nights.  PTO usually has a booth/table setup at conferences with any items on hand to sell and is available to answer questions.  Membership Toolkit Volunteer Portal or PTO Signup Genius can be used to coordinate volunteers and donations.  Needs 2-3 volunteers; approximately 4-6 hours of commitment between July-August

 

Community Events – Chaired by Member at Large (heritageptomal@gmail.com).  This committee is responsible for planning and executing two main community events, generally one in the Fall and one in the Spring.  Additionally offer oversight and support of any smaller events.  Previous events include “One School / One Book”, Carnival, Movie Night, Skating Rink, Urban Air, etc.  Membership Toolkit can be used for RSVP’s and Sales.  Needs 6-8 volunteers; approximately 4-6 hours of commitment each event.

 

Conference Meals (October / February) – Chaired by Vice President (heritageptovicepres@gmail.com).  This committee is responsible for planning staff meals for both October and February conferences.  PTO usually caters one of these meals.  Needs 1-2 volunteers; approximately 2-4 hours of commitment per conference.

 

Fundraiser Committee – Co-chaired by several Board members, including Vice President (heritageptovicepres@gmail.com).  This committee is our largest committee, requiring the most time, energy and volunteers.  This committee will oversee ALL Fundraisers for the upcoming school year, including the major Fall Fundraiser (collaborative effort between ALL BPS elementaries), Bennington Gives and Spring Fundraiser.  This committee is responsible for community engagement, any procurement and distribution of goods sold for events, sales and incentive tracking (for both individuals and classrooms).  Previous events include “No Sale Calendar FunRun”, Dance-a-Thon, Read-A-Thon, Silent Auction, Bundlets, Ditch the Dishes, etc.  Membership Toolkit can be used for RSVP’s, Sales, Fundraising Platform and Volunteers.  PTO Signup Genuis can also be used for volunteers and donations.  Needs 6-8 volunteers; approximately 25 hours of commitment between July and May

 

Membership Management – Chaired by Member at Large (heritageptomal@gmail.com).  This committee is responsible for maintaining all aspects of PTO Membership including Membership Drive, Member Maintenance, Website Maintenance.  This committee is also responsible for ongoing PTO Management software vetting, ensuring that Heritage is getting the most value for the money invested.  Needs 1-2 volunteers; approximately 2-3 hours per month.

 

New Student Welcome Kits – Chaired by Outreach Coordinator (heritageptooutreach@gmail.com)   This committee is responsible for ensuring that new students to Heritage receive a welcome kit to include Heritage T-Shirt, PTO Welcome Letter.  T-shirt sizes are collected from Teachers on Back to School Nights.  Committee oversees design, production, packaging, and distribution.  Generally new shirts are given to incoming Kindergarteners (~75) and net new transfer students.  Needs 1-2 volunteers; approximately 2-4 hours of commitment in August.

 

Reading Incentive Cart – Chaired by a Secretary (secretaryheritagepto@gmail.com).  This committee is responsible for ensuring that the Reading Incentive Cart is stocked and that there are volunteers committed to pushing the cart through the school.  Membership Toolkit Volunteer Portal or PTO Signup Genius can be used to coordinate volunteers.  Maintaining the cart is usually a one person job but requires monthly commitment to check the stock.  Pushing the cart can be done by any number of volunteers.  Usually this is a weekly commitment and takes approximately 1-2 hours (depending on the Kindergarten/1st Grade cadence)

 

Scholarship Committee – Co-chaired by the Treasurer (heritageptotreasurer@gmail.com) and Outreach Coordinator (heritageptooutreach@gmail.com).  This committee reviews all scholarship applications and determines awards winners (usually February).  Any person sitting on this committee can NOT be related to any individual applying for a scholarship.  One member of the committee attends the Awards Ceremony (usually in April) to present scholarships.  Needs 2-3 volunteers; approximately 2-3 hours of commitment between February and April

 

Staff Appreciation – Co-chaired by President (heritagepto2012@gmail.com) / Vice President (heritageptovicepres@gmail.com).  This committee is responsible for planning, procurement and execution of all Staff Appreciation and events, including Staff Appreciation Week.  Membership Toolkit can be used for Volunteers.  PTO Signup Genuis can also be used for volunteers and donations.  Needs 4-6 volunteers; approximately 1-2 hours of commitment for smaller events; 6-8 hours of commitment for larger events.

 

Yearbook / Yearbook Photographer – Chaired by a volunteer (heritageptoyearbook@gmail.com).  This committee is responsible for collecting photos throughout the year and compiling them into a yearbook.  Needs 2-3 volunteers (one of which creates the yearbook); approximately 10-12 hours of commitment.
